Understanding the Email Marketing Tool

What is the Email Marketing Tool? 

The email marketing tool lets you create and send custom email campaigns, design customized layouts, and track performance with built-in analytics, all from within your BookTix account. 

IMPORTANT NOTE: This feature is NOT available in CANADA.

How do I access it? 

For the best experience, please use this tool on a desktop web browser instead of a mobile device.

Accessing the tool will depend on your Administrator account type (ie, Organization Administrator vs. Department Manager. 

Notes
If you already built a list within one "side" of the account vs. the other, be sure to access the Email Marketing Tool from the same dashboard so you will be able to see your pre-made list!

By accessing as an Organization Administrator, you will be able to use Lists that encompass customers across all of your departments. 

      1. Log in and navigate to the organization dashboard via the gear in the top right corner. 
      2. On the left side menu, under Customer Management→ EMAIL MARKETING TOOL.    
Department Manager Access
Lists used within a department will ONLY include customers who have purchased within that department. 

      1. Log in and navigate to your department. 
      2. On the left side menu, go to Marketing and Fundraising → EMAIL MARKETING
      


To return to your BookTix ticketing site and access your main tool bar, click RETURN TO MAIN SITE in the top right corner. 

What are the menu options? 

Dashboard: The home page of the Email Marketing Tool. Includes links to useful Knowledge Base Articles and other resources. 

Campaigns: Where you will build and track the email campaigns you have created and sent. 

Lists: Where you can see your existing lists. You can also access and build new lists from the main BookTix Site. 

Email Search: A tool to check and see the status of your customers' email address. 
See how it works
In the search box, enter the email address, then click SEARCH
Find the customer and their contact status. 

To change a customer's status, click the blue PENCIL. Use the dropdown to select a new status, then click UPDATE
 Email Credit History: Where you can control your Email Credits so you are able to send emails. 

Settings: Where you can control your REPLY TO emails.

You will have to set a REPLY TO email to send an email campaign. This is so, if your customers reply to the email campaign you have sent, you will be able to receive the message. 
After you enter your reply to email address, you will need to click the activation link within said email address. 
 

What are the costs? 

BookTix provides enough credits to email each valid contact in your system 3 times every 6 months. On Jan 1 and July 1, you will automatically be credited enough credits for every valid contact in your system x3. Credits expire after 6 months.

How does the Email Marketing Tool work?

Before you can email anyone, BookTix does a pre-verification process on all emails in a client's account to make sure they're valid. For example, johnsmith@google.co vs johnsmith@google.com - .co is not a valid email, but .com is. 
It will not verify whether an email will bounce, only if the address contains errors
Once you build your recipient list and create the campaign, you will proceed to sending the email.

Emails are sent in batches to help build a positive reputation with email services and reduce the risk of messages being flagged as spam. In the beginning, the system starts with smaller batches so email providers can recognize and trust the sending domain. As you continue sending more campaigns and build that trust, the batch sizes and sending speed will automatically increase—meaning your emails will go out faster and more efficiently over time. If you’re sending to a large list, it may take a few hours for all messages to go out, but that’s to be expected. 


InfoIf you plan to import an email list, this should be done before you enable the tool, so you receive your full credit allotment before your contacts are uploaded.
